Service & Expense attaches the items that sit outside stock to your invoicing. Consultancy, freight or a subscription is kept apart from the stock card. You open a service card for them and use it on sales and purchase invoice lines. Mikro, Logo or Piconn can keep the chart of accounts. EQLEM manages the document line. The split of "the service invoice is in a spreadsheet, the stock invoice is in the system" disappears.
Sales raises the service invoice. Purchasing enters the expense invoice. Reports show the cost for the period.
Who is it for?
Finance and accounting teams set up service and expense definitions. Sales teams raise service sales invoices. Purchasing teams enter expense invoices. Operations manage multi-code and supplier matching. Managers take the period summary from reports.
Physical products are not in this module. They stay under Inventory.
Definitions, multi-codes, supplier relations and reports are on web. Purchase and sales invoices can be entered from both web and mobile.
How it works
You create service and expense definitions on web. A definition holds the unit, the classification and any additional codes. The same service may carry more than one supplier code, and a multi-code definition makes it easy to find.
Purchase and sales invoices are recorded through document entry. A service line on a sales invoice does not create a stock movement. On an expense purchase you can attach a cost centre or a project through Master Definitions.
The invoice line joins the Sales or Purchase chain. Lists share the same list experience rules. Permissions decide who opens a definition and who raises an invoice.
Consultancy teams working on site can raise the invoice from mobile. Maintaining the definitions stays in the office, on web.
Benefits
You get a clear model for everything that is not stock.
A service carrying different supplier codes is no longer a problem.
Reports give clear figures by period and by account. For recurring items such as subscriptions, you track the cost period by period.
At period end, the web report carries your service purchase and sales balance into the finance close.
You can make the project code mandatory on an expense invoice. Permission settings decide who may override that.
The close is completed on the same data as sales and purchasing.
