When the wrong warehouse is written on the invoice line, stock melts away from another shelf, and on counting night, nobody can find the reason. Line errors look small, but they grow in reports and stock.
Unit, discount, VAT, and quantity errors come from the same family; most are preventable validation deficiencies. In this article, we have listed frequent errors and precautions.
EQLEM is a solution platform; while increasing line quality with standard document entry and rules, it does not disrupt the financial order in your existing ERP system.
Table of Contents
Wrong warehouse selection
If the correct warehouse is selected in the header but a different warehouse is left on the line, the movement gets mixed up. The line warehouse must be visible and aligned with the default.
Unauthorized warehouses should not appear in the list; the opportunity for wrong selection is closed.Branch and warehouse scopecomes in handy here.
In transfer documents, source and destination must be clearly separated. Using the same field twice is a classic mistake.
Most counting discrepancies stem from warehouse confusion; the root cause is the line. Read the report broken down by warehouse.
We covered warehouse groups in thewarehouse groupsarticle.
Unit and quantity errors
Confusing box and piece multiplies or divides stock; entries must not be made without the unit multiplier visible. A blind multiplier is the most expensive mistake.
Rounding rules for decimal quantities must be clear; otherwise, totals will drift. Precision is defined according to the document type.
Negative quantities should only be allowed in specific documents. Free negative stock creates a black hole.
We established unit definitions in the unit brand model article.
Zero-quantity rows should be prevented from being recorded; blank rows generate noise. Blank rows also mislead totals and waste time during audits.
Price and discount drifts
Manually typing prices bypasses the list; line prices must remain locked unless authorized. Off-list sales ruin profitability.
If there is confusion over whether the discount applies to the line or the document, the total will be off. A single model is chosen and reinforced in training.
Forgetting double discounts or matrices violates customer agreements. Discount matrix see the article.
We explained price list management in the price list article.
The exchange rate date must be clear in foreign currency lines; the wrong day's rate distorts the amount. The rate source must also be kept visible in the record.
VAT and tax errors
If the rate on the stock card does not transfer to the line, the user leaves the old rate. The default rate must flow from the card.
If exemption and withholding fields are opened in the wrong document, e-document rejection occurs. Document type restriction is mandatory.
Confusion over VAT inclusive/exclusive inflates or deflates the total. Clear labels must be used on the screen.
We provided the e-document checklist in the e-document checklist article.
When the tax changes, open drafts must be recalculated; they should not remain at the old rate.
Incorrect stock card
When similar codes are selected side by side, the wrong product is shipped; descriptions and barcodes must be visible in search results. The code alone is not enough.
Inactive cards should not be added to the line; old products should not circulate in the list. An inactive filter is mandatory.
For products with variants, the line should not be closed without selecting the color and size.Color size variant see the article.
Barcode scanning is safer than manual typing; make it standard in the field.
If there are multiple barcodes, the mapping table must be kept up to date. If an old barcode is not linked to the new card, the wrong product is selected.
Copy-paste traps
Lines copied from a previous document carry over the old price and warehouse. Verification after copying must be mandatory.
Lines pasted from Excel may leave the unit and tax blank. A template and validation shield are required.
Adding duplicate lines is common; a duplicate code warning is useful. If the warning does not block it, at least it highlights it.
File integration has the same trap as well; file integration see the article.
The copy operation must show the user which fields were transferred.
Unapproved correction
Modifying a line in an approved document disrupts the stock and accounting audit trail. Corrections must be made via cancellation-new or authorized return.
Retroactively dated line changes distort reports. A date lock and authorization are mandatory.
We covered sensitive operation authorizations in the sensitive operation authorizations article.
If a change log is not kept, the root cause cannot be found. Who changed what must be visible.
Do not make silent corrections on the platform in documents already transferred to the existing ERP; the two sides will diverge.
Prevention rules
Pre-registration validation must work line by line; missing fields should be marked in red. Silent registration hides the error.
A standard document skeleton makes error catching easier.Standard document entry see the article.
Role-based price and discount ceilings must be established. Unlimited fields mean unlimited errors.
If stock is insufficient, a warning or block should be selected; the policy varies by sector. Silently dropping into negative stock is risky.
Provide targeted training to users who frequently generate errors; general training is not enough. Explaining with personalized examples to someone who repeats the same mistake yields faster results.
Checklist
Random document sampling should be done at the end of the day; warehouse, unit, and VAT are checked. Full audit is expensive, sampling is sufficient.
Suspicious lines are quickly found with list filters.List filters see the article.
Preset filters should be saved for zero price, excessive discounts, and negative quantities. The same search should not be performed every day.
Found errors are closed with their root cause; merely correcting them will reproduce the same error tomorrow.
Monthly error counts show trends; an increase indicates training issues or relaxed rules. A downward trend proves that validation is working.
Points to consider
Do not gain speed by turning off validation; speed is temporary, correction is a permanent cost. Relaxing rules gets expensive.
Do not silently change lines in an approved document; the audit trail breaks. Cancellation and a new document are safer.
Do not replace your ERP with EQLEM; final financial records can remain in the existing system. Line discipline is required on both sides.
Do not leave copy-pasting uncontrolled; it carries over old prices and warehouses.
Do not hide the unit multiplier; the user must see what they are typing.
Frequently asked questions
What is the most common line error seen?
Wrong warehouses and unit confusions lead the way, followed by prices and VAT. Lock down these four first.
Should a warning or a block be preferred?
Blocks are suitable for critical areas, and warnings for low risk. Blocking everything locks up operations; warning about everything gets ignored.
Is EQLEM an existing ERP?
No; EQLEM is a solution platform and works alongside your existing ERP system.
What is done after an error is found?
The document is corrected, the root cause is noted, and the rule or training is updated. Simply deleting a line is not enough.
Line errors look minor but disrupt stock and cost. Lock down the warehouse, unit, price, and VAT quartet first.
Do not gain speed by disabling validation rules; audit copy-pasting. Do not make silent corrections on approved documents.
Standard entry and list filters catch errors early. A sampling routine keeps quality alive.
Limit discounts and price deviations with authorization ceilings. An unlimited field means unlimited errors.
Fixing the same error every day without closing the root cause is a waste of resources.
By consulting with the EQLEM team you can clarify your line validation rules.
